Birthday - dates, ages and calendars

Submitted Feb 15 by Michael Biolsi

Churches/ministries need to know ages. Assigning kids to classes, acknowledging important age milestones and trending your mean age as a church are all examples of the use of age data. All of these can be valuable to you as a leader IF you take the time to enter the YEAR of birth when you enter birthdays for the people you add to stafftool.

However, ages can be a sensitive subject to some. It's OK if you know, but they might not appreciate it being broadcast.

Stafftool has you covered. When you enter a birthday in a contact record is appears on the stafftool calendar. If you input the year it will also show you their age and you can use the age for filtering records with smart groups. So you and your staff can get the reports you need and quickly notice important events and years in your dashboard or events calendar, whether on your computer or iPhone. This age information is only visible inside stafftool, and only to the people you have allowed to log in and see it.

When making your birthdays public, stafftool helps you keep that age information under wraps. When users subscribe to your calendar with an ICS compatible calendar program (like Apple iCal, MS Outlook, etc) only the DATE of the event, NOT the YEAR, is published. Also, if you embed the calendar on your church web site it will only show the DATES and not the AGES of your people.

NOTE: This is a significant issue of security and protection - you DO NOT want anyone going to your church calendar seeing the name and age of the children of your church. Be smart, be safe.

One quick question about birthdays. Is there a way to track these in the database WITHOUT having them appear as events on the calendar?

I think what I'm going to have to do with this is make it a preference...either an organization-wide or per user preference to show birthdays on the calendar. I think perhaps that if the organization makes bdays available the user could choose if they want to see them, or they could just not be available if the org doesn't want them to be.
